InboundAI365, LLC (“IB365”) provides SMS messaging services to medical practices through the IB365 platform, including appointment reminders, telehealth links, provider status updates, and MyCare patient portal notifications.
How We Obtain Consent
Patients and subscribers provide explicit consent to receive SMS messages from IB365 and their healthcare practice through the following methods:
Types of Messages
IB365 sends the following types of SMS messages on behalf of medical practices:
- Appointment reminders — upcoming appointment date, time, provider, and location
- Telehealth video links — one-tap access to virtual appointments
- Provider status updates — notifications when your provider is ready for your appointment
- MyCare portal links — access to the patient portal for self-service scheduling and appointment management
- Appointment confirmations — confirmation of newly scheduled, rescheduled, or cancelled appointments
- Practice notifications — important updates from your healthcare practice (e.g., office closures, schedule changes)
Message Frequency
Message frequency varies based on your appointment schedule and practice communications. Typical patients receive 1-5 messages per month. You may receive more messages during periods with multiple appointments. Message and data rates may apply. Contact your wireless carrier for details about your messaging plan.
How to Opt Out
You may opt out of SMS messages at any time by using any of the following methods:
After opting out, you will receive a single confirmation message: “You have been unsubscribed from appointment reminders. You will no longer receive text messages. Contact your practice directly for appointment information.”

Privacy & HIPAA Compliance
IB365 is HIPAA compliant. All SMS messages are sent in accordance with healthcare privacy regulations. We do not sell, share, or use your phone number for marketing purposes unrelated to your healthcare practice.No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS messages contain only appointment-related information and practice notifications.

Messaging Hours
IB365 will not send SMS messages between 9:00 PM and 8:00 AM in the recipient's local time zone, in compliance with TCPA quiet hours. The only exception is time-sensitive appointment notifications within thirty (30) minutes of a scheduled appointment (e.g., “Your provider is ready — join now”).
Consent Specificity
Your consent to receive SMS messages from IB365 is specific to IB365 and your healthcare practice. Your consent is not shared with, sold to, or bundled with any other company, service, or marketing program. This consent applies only to appointment-related communications and practice notifications from your specific healthcare provider using the IB365 platform.
Consent Revocation
IB365 will process all opt-out requests within ten (10) business days of receipt, as required by FCC regulations. Upon processing your opt-out, you will receive no further messages. If you wish to re-subscribe, contact your practice directly or visit the MyCare patient portal.
Record Retention
IB365 retains SMS consent records and messaging logs for a minimum of four (4) years in compliance with TCPA litigation requirements. Message content and delivery records are retained as part of the practice's communication history within the IB365 CRM.
Carrier & Cost Disclosure
Message and data rates may apply. SMS frequency varies based on your appointment schedule. Carriers are not liable for delayed or undelivered messages. Compatible with all major US wireless carriers including AT&T, T-Mobile, Verizon, and others. IB365 is not responsible for charges from your wireless carrier.
